Switching Property Managers

Switching Property Managers

A management change should be organized, not disruptive.

If you are dissatisfied with your current manager, the transition can often be planned while the existing tenancy remains in place. The exact process depends on the management agreement, lease, funds, records, and open issues.

Start with the existing agreement

Before giving notice, understand what actually needs to transfer.

A transition is more than changing where the tenant sends rent. The existing management agreement may address termination, notice, outstanding fees, owner funds, records, keys, vendor invoices, and duties that continue after termination.

We begin by understanding the current arrangement and the tenancy rather than assuming every takeover follows the same checklist.

Typical transition items

Lease & tenant file

Executed lease and addenda, applications, notices, correspondence, inspection records, and relevant tenant documentation.

Ledger & funds

Rent ledger, owner ledger, security-deposit information, prepaid rent, balances, and documentation of funds being transferred.

Property access & maintenance

Keys, remotes, lockbox information, vendor history, warranties, open work orders, pending estimates, and unresolved issues.

Association & utilities

Association contacts, approvals, violations, application history, utility information, and other records affecting the tenancy.

What happens next

A practical takeover sequence.

Details vary, but a disciplined handoff reduces confusion for both owner and tenant.

01

Review

Management agreement, lease, ledger, property status, association issues, and any pending disputes.

02

Plan

Set the termination and handoff timeline based on the actual agreements and responsibilities.

03

Transfer

Coordinate records, access, funds, vendor information, portal setup, and tenant communications.

04

Stabilize

Resolve open items, confirm recurring responsibilities, and establish routine owner and tenant communication.

You do not need to have everything organized first.

Send what you have.

If you have the current management agreement and lease, attach or reference them when we follow up. If you do not, start with the property address, current manager, and basic tenancy information.

Takeover inquiry

We will tell you what we need next.

No need to reconstruct the entire file before the first conversation.
